Scholarship Policy โ Automate the Cloud Inc.
1. Purpose
To establish objective, nondiscriminatory procedures for awarding scholarships in furtherance of the Corporation's educational purpose under Section 501(c)(3), and to ensure scholarships serve a charitable class and confer no impermissible private benefit. As a public charity, the Corporation is not subject to the private-foundation advance-approval requirement of IRC ยง 4945, but adopts these procedures as best practice and to preserve its exempt status.
2. Eligibility
Scholarships are open to a broad charitable class of students pursuing education, with a focus on information technology, cloud computing, and related fields. Eligibility criteria (to be set annually by the Board or a designated committee) may include enrollment status, field of study, and demonstrated interest or financial need, but shall not discriminate on the basis of race, color, national origin, religion, sex, age, disability, or any other basis prohibited by law.
3. Selection Committee
A Scholarship Committee designated by the Board reviews applications and recommends recipients. No committee member may participate in the selection of a recipient who is the member's relative, domestic partner, or business associate, or who otherwise creates a conflict of interest under the Conflict of Interest Policy.
4. Prohibition on Private Benefit
No scholarship may be awarded to a director, officer, or employee of the Corporation, or to their relatives or domestic partners, or to any disqualified person. Awards must be made on an objective, arm's-length basis and may not be earmarked by a donor for a specific individual.
5. Selection Criteria and Process
- The Corporation shall publish the availability of scholarships and the application requirements to the eligible charitable class.
- Applications shall be evaluated against pre-established, written criteria.
- The basis for each award (and non-award, where relevant) shall be documented.
6. Use of Funds and Records
Scholarship funds shall be paid, where practicable, directly to the educational institution or applied to qualified educational expenses. The Corporation shall maintain records of: the criteria used, the pool of applicants, the basis for each selection, the amount and purpose of each award, and evidence that funds were used for their intended educational purpose.
7. Amount and Frequency
The number and amount of scholarships shall be set by the Board based on available funds, consistent with the Corporation's budget and its Form 1023-EZ gross-receipts limits.
8. Review
This policy shall be reviewed periodically by the Board and amended as needed.
